Valiant Heroes Organization ("we," "us," or "our") operates the website www.valiantheroes.org (the "Site"). This Privacy Policy describes how we collect, use, protect, and share information when you use our Site.
We are committed to protecting the privacy of all visitors to our Site, particularly the veterans and military families we serve.
1. Information We Collect
We collect only the information you voluntarily provide:
- First Name and Last Name: Optionally provided in Step 1. Used to personalize your constituent record so congressional staff can identify real constituents by name.
- Email Address: Required in Step 1 so we can deliver the requested VFCAA legislative documents to your inbox and register your support in our constituent registry.
- Street Address: When you use the "Find My Rep" feature in Step 2, you enter your full street address to look up your congressional representative. This address is sent to the U.S. Census Bureau Geocoding API in real time to identify your congressional district. We do not store your street address.
We do not collect phone numbers, Social Security numbers, military service records, VA claim numbers, financial information, or any other personally identifiable information unless you voluntarily provide it through direct correspondence (e.g., emailing us for help).
2. How We Use Your Information
- First Name and Last Name: Stored in our constituent registry (DynamoDB) alongside your email address to identify you as a named supporter when congressional staff review the registry. Names are not shared with any third party without your explicit consent.
- Email Address: Used to send you the requested VFCAA legislative document package and to register your support in our constituent registry. We may share aggregated, non-identifying tallies (such as supporter counts by state) with congressional offices. Your individual email address will not be shared without your explicit consent.
- Street Address: Used only in real time to look up your congressional representative. Your street address is not stored on our servers or in any database.
3. Information We Do NOT Collect
- We do not use cookies for tracking or advertising purposes.
- We do not use third-party analytics services (such as Google Analytics) on our document delivery pages.
- We do not collect browsing history, device fingerprints, or behavioral data.
- We do not build user profiles or sell data to advertisers.
4. How We Protect Your Information
We take the security of your data seriously. Our Site and email infrastructure use the following protections:
- HTTPS/TLS Encryption: All data transmitted between your browser and our servers is encrypted using industry-standard TLS (Transport Layer Security).
- Authenticated Email: All emails sent from admin@valiantheroes.org are authenticated using SPF (Sender Policy Framework) and DMARC (Domain-based Message Authentication, Reporting and Conformance).
- AWS Infrastructure: Our backend services run on Amazon Web Services (AWS) with encryption at rest and in transit. AWS maintains SOC 2, ISO 27001, and FedRAMP compliance.
- No Unnecessary Data Retention: We do not store street addresses. Names and email addresses are retained only as long as necessary to fulfill document delivery and support constituent engagement reporting.
5. Third-Party Services
We use the following third-party services in the operation of our Site:
- Amazon Web Services (AWS): Static website hosting (S3), content delivery (CloudFront), serverless computing (Lambda), and database storage (DynamoDB). AWS Privacy Policy: aws.amazon.com/privacy
- U.S. Census Bureau Geocoding API: Used to identify your congressional district from the street address you enter in Step 2. No personal data is retained by this service. Census Bureau Privacy Policy: census.gov/about/policies/privacy
We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes.
6. Data Sharing
We may share aggregated, non-identifying information (such as the total number of veterans who have requested documents, broken down by state) with congressional offices to demonstrate constituent support for the VFCAA. Individual names and email addresses are not shared without explicit user consent.
7. Children's Privacy
Our Site is not directed at individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly.
8. Your Rights
You have the right to:
- Request a copy of any personal information we hold about you.
- Request deletion of your personal information from our systems.
- Opt out of any future communications from us.
